why we built it

We get a lot of mail: several inboxes, most of them with aliases we write from, and a different signature for each. And we read each one differently. Our own we go through in full, in the shared company one only what sits in the inbox, and the one that only gets automatic notifications needs a look once a day. The connector in Claude handles one inbox, and we didn't find a ready-made solution that could do this. So we built our own.

We've been using it for a while now. Miládka goes through our mail with it every day and we keep tuning it to whatever we run into. What you get is exactly what we use ourselves. The guide is written mainly for Miládka: whatever she can do herself, she does, and she asks you about everything that depends on you.

Why we use it

Gmail in the Claude app can connect only one inbox. If you have a work, a personal and maybe a billing address, you have to keep an eye on the rest yourself. Once this is connected, Miládka goes through all your inboxes, knows where she left off in each, and tells you what came in where.

It works with Gmail and with company addresses that run on Google (Google Workspace). Not with Outlook or your own mail server. Not sure what your company mail runs on? Miládka will find out herself.

What's ahead

Miládka does the setup. From you she only needs what she can't do for you:

  • Install Node.js. A helper program, only if your computer doesn't have it. Miládka will notice and tell you where to download it.
  • Create a password for Miládka. One per inbox. Google calls it an app password.
  • Paste the password into a file. Miládka opens the file for you. The password doesn't belong in the chat.
  • Allow the connection. One confirmation when the Claude app asks.

You'll need your phone for two-step verification. For a company address you may need your mail administrator.

Step 1 - Write to Miládka

Miládka reads the guide and takes you through it one step at a time. She asks which address you want to connect first, whether only you write from it or more people read it, and whether she may send emails from it too. Start with one inbox. You can add the next one in a few minutes, once the first one works.

Step 2 - Create a password for Miládka

This is the only part in the browser. Once for each inbox, signed in as that inbox.

  1. Open myaccount.google.com/security and check that 2-Step Verification is on. Without it Google won't issue the password.
  2. Open myaccount.google.com/apppasswords, type Miládka into the field and click Create.
  3. Google shows the password, 16 letters in four groups. Keep the window open.

For a personal Gmail account you won't find app passwords in the Security menu, you can only get there through the link above.

Don't type the password into the chat. Whatever is written in the conversation stays in its transcript. You'll paste it into a file in the next step.

Step 3 - Paste the password into the file

Miládka opens the settings file for you.

Windows

It opens in Notepad.

Mac

It opens in TextEdit.

Find the text SEM_VLOZ_HESLO_APLIKACE in it, select just that text (leave the quotes around it) and paste the password from Google in its place. Spaces in the password don't matter. Save, close, and tell Miládka you're done.

Step 4 - Allow the connection

Miládka asks you to open a new conversation. In it the Claude app asks whether to allow the multi-gmail server. Allow it. Miládka then checks the sign-in and goes through today's mail with you.

Once everything works, she'll tell you to disconnect the original Gmail connector in the Claude app (Settings → Connectors). Two routes to the same inbox would get in each other's way.

What changes in your inbox

Every email Miládka goes through gets a small M label in Gmail. That's how she knows what she has already seen, even if you read the email on your phone in the meantime. She sorts conversations with labels under it (urgent, action, waiting, info, noise), so you see straight away in Gmail what's on you. You can choose the names.

Miládka prepares drafts. She only sends when you allow her to, and even then only the messages you explicitly tell her to send.

Security

  • Mail only. An app password can be revoked at any time at myaccount.google.com/apppasswords. Google also revokes it by itself when you change your account password.
  • Only on your computer. It sits in Miládka's folder on your computer. It doesn't go into the GitHub backup.
  • Password ended up in the chat? Revoke it and create a new one. It takes a minute and Miládka will walk you through it.

If it doesn't work

Google says app passwords aren't available
2-Step Verification is missing, or you only have it through a passkey. Add your phone as a second step. For a company address your administrator may have turned app passwords off, so ask them to allow app passwords and IMAP access.
Miládka suddenly can't see your mail
You most likely changed your Google account password, and that revoked the app password. Create a new one (step 2) and tell Miládka to replace it.
